Position Overview

Outpatient Services (Ambulatory Care) includes all health services provided without the need for admission to hospital. A wide range of services are offered in Medicine Ambulatory Care settings including assessment and follow up appointments which allow clients to better manage acute and chronic conditions while reducing the reliance on hospitals.

The Respiratory and Sleep Medicine Department (DRSM) is a dedicated service for patients suffering from respiratory disorders and sleep-related conditions. This service is multi-disciplinary with input from medical specialities, nursing, and allied health professionals.

This position will report to the Office Manager of the Respiratory and Sleep Medicine Department (DRSM). Under general direction, this position provides administrative support to the DRSM service by assisting with the management of referrals and the booking and scheduling of appointments, billing of services rendered and patient record management whilst providing a high level of customer service as well as other general administrative duties.

Duties

Under limited direction of the Office Manager and Administration Manager you will perform Booking and Scheduling duties for the unit.

You will:

  1. Participate and coordinate administrative duties such as but not limited to; referral management, scheduling, booking, billing within a discreet unit to achieve the provision of a high-quality customer focused outpatient service.
  2. Record management-
    1. Coordination and setup clinics in the relevant IT systems.
    2. Maintain appropriate records and data into CHS, TCH and Outpatient databases and IT systems relevant to the unit/organisation.
  3. Problem solve and manage competing priorities to a high standard while providing direction and supporting other staff within the department.
  4. Knowledge of the Medical Benefits Schedule and ability to apply this knowledge into practice by raising and processing Medicare invoices (DB4) in accordance with the Medicare Benefits Scheme.
  5. Provide support to clinical staff within the department such as, but not limited to, being responsible for coordinating, communication, and the general functioning of a discreet unit.
  6. Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

Position Requirements / Qualifications

Mandatory

  • CHS is leading the drive to digitally transform health service delivery in Australia through the implementation of a territory wide Digital Health Record. Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates and contingencies.

Desirable

  • Have an understanding of how the National Safety and Quality Health Service (NSQHS) indicators align with this role.
  • Fulfil the responsibilities of this role in alignment to the CHS Exceptional Care Framework, Clinical Governance Framework, Partnering With Consumers Framework and all other related frameworks.
